The Department of Lands has an opening for an Administrative Assistant 1 (AA1) located in our area staff office in Craigmont, Idaho.
EXAMPLE OF DUTIES:
This position will supervise area administrative staff and perform a wide variety of administrative functions, including:
- Respond to inquiries and explain department services, policies, and procedures to customers
- Utilize word processing equipment and/or computers to create, process, and maintain a variety of documents and administrative records containing technical information and a variety of formats
- Update external and internal databases, including compiling and analyzing information for reports
- Schedule and coordinate travel; prepare travel vouchers; process state purchasing card transactions
- Coordinate on- and off-site events and conferences, including facilities, equipment, refreshments, and material preparation
- Compile and verify time cards for staff
- Collaborate with other area and staff office administrative support staff to implement department directives and to complete large projects
- Availability to work long hours and weekends during fire season

Good knowledge of:
- Office support functions including word processing, filing, composing a variety of business documents and reception
- Gathering and compiling data
- Balancing and coordinating a workload for multiple projects
- Interpreting, applying, and explaining complex information such as Idaho Administrative Codes (IDAPA) pertaining to fire regulations, Idaho Forest Practices Act, and Lake Protection Act
- Experience using spreadsheet and database software
- Basic accounting experience to assist in developing budgets and processing and tracking expenditures
- Experience with fire business related activities, fire contract administration, payment package auditing, detailed statement financial cost compensation, or related qualifications
The ideal candidate will have:
- Two or more years of administrative assistance experience in a professional office
- Ability to exercise discretion and good judgment regarding confidential and sensitive department transactions
- Knowledge of state and local government organization structure, functions, and decision-making processes
- Competent use of Microsoft Office applications, such as Word, Excel, Outlook, Teams, and Access
- Superior proofreading skills with strong attention to detail
- Experience using PDF editing software (e.g. FoxIt or Adobe Acrobat)
- One or more years’ experience collecting and organizing data and managing a database
- A desire to build and maintain strong working relationships with internal and external customers to fulfill the Department’s mission, goals, and values

Under the direction of the Idaho State Board of Land Commissioners, IDL manages more than 2.4 million acres of state endowment trust land under a constitutional mandate to produce maximum long-term financial returns for public schools and several other State of Idaho institutions. Leases and other contracts are used to authorize revenue generating activities such as timber harvest, grazing, farming, mining, commercial use, residential use, and conservation in a prudent and sustainable manner.
Managing endowment trust lands is only part of our story. We also protect public resources such as water quality, fish, wildlife habitat, and recreation on public trust lands, and ensure the protection of water quality and other resources by overseeing forestry and mining practices across all ownerships in the state. We also work to reclaim abandoned mines in Idaho. One of our most important resource protection responsibilities is fire prevention and suppression. We also provide assistance to landowners to manage their forest lands, work with communities to plant trees in urban settings, help keep working forests working through the Forest Legacy Program, and work with many partners to promote healthy forests on a landscape level. IDL also is the administrative arm of the Idaho Oil and Gas Conservation Commission.
